[Lite/Flex] Overview of a service visit (a.k.a. chart) and how to process a transaction

Here’s a quick overview of the steps during a patient visit:

  1. Start a New Service Visit: Begin by creating a new service visit for the patient and specify the services they received.

    Step 1: Select the services they received. Note: first you will have to select the Service group, such as Neurotoxins, Fillers, etc., then you will select the Service name.

    Step 2: Select the amount of units for the service. You will be able to select number of units used in the present service visit, as well as "Future use" units that were bought and will be used in the future. 

    3. You will see all photos uploaded
    4. You will be able to upload Before photos, if the service requires it

    5. Patient medical consents: the consent corresponding to the service will populate to be signed.

    6. Standing orders reviewed and accepted.

    7. After Photos (optional)

    8. Photos Consent (optional)

    9. Checkout

  2. After filling out all necessary steps, you will find the Checkout button.

  3. Checkout - Charging the Patient: You will find different ways to charge the patient, here's an overview of how to proceed depending on the method of payment:

    • Card on File: If the patient has a card on file, you can process the payment directly through the EHR without needing to open the Square app.

    • Cash Payment: If the patient chooses to pay with cash, simply select the cash option and close the service visit.

    • Charge with Square: If the patient does not have a card on file or wants to split the payment, select the Charge with Square option. When you press that button, if the Square POS app is logged in to your Portrait team account and the Square Reader is properly connected, you can charge the patient using their card with the reader. Please remember, this button is only for these specific scenarios; typically, you would charge the card on file.
