As your Provider user transitions into the new EHR dashboard, this article highlights the key differences with your previous dashboard. Some features have been relocated for easier access.
1. Switching Between Admin and Provider Dashboard
- Admin Dashboard: This provides administrative features to manage your Medspa.
- Provider Dashboard: Limited to charting features necessary for charting treatments.
2. Admin Dashboard - Services
Services/Products Management Tab: Import service groups from Portrait’s Primary Services Library or create your own customized services.
3. Admin Dashboard - Scheduling
Calendar Configuration: Adjust your scheduling preferences and settings.
4. Admin Dashboard - Scheduling
- List of locations - Find your booking link here (upper right corner)
- Set up email and SMS patient appointment notifications for patients
- Manage the list of appointment types which show as booking options for patients
5. Admin Dashboard - Account Settings
Located in the upper right corner dropdown, the Account settings will allow you to create and manage new Admin users for your Medspa if needed, these users will have the same admin access as you have.
6. Admin Dashboard - Account Settings
The Account settings will allow you to manage the features you would like to use in your Medspa under the “Add-ons” list. These features will remain turned on by default.
7. Admin Dashboard - Account Settings - Deposits and Fees
- Cancellation Fee: This fee must be charged manually after a no-show with less than 24 hours' notice (by going to their patient profile and charging their card on file with the “Retail checkout” button).
- Deposit Fee: Automatically charged to the patient’s credit card on file (which they provide upon registering, with a text warning them about your cancellation/deposit fee policy) and creates an account credit for future services.
8. Admin Dashboard - Account Settings - Payment methods
The Account settings will allow you to manage the payment methods that will be used for your inventory orders and any charges to be paid out to Portrait.
9. Admin Dashboard - Account Settings - GFE Management
The tab where you set up your GFE settings will now be located in the upper right corner dropdown under “Account settings” for you to select the option that applies for your practice.
10. Admin Dashboard - Account Settings - To-do list
To-Do List: Lists pending service visits (charts) that have not been submitted yet.
11. Admin Dashboard - Documents Section
The Documents section is located in the upper right corner dropdown and in the tab named “Other” you can find your monthly invoices (applicable to Flex and Legacy only)
12. Provider dashboard
The tabs that will be available in your provider dashboard will be:
- Earnings view showing monthly revenue charts.
- Patients list showing all patient profiles that this provider has access to.
- To-do List showing all service visits (aka. “charts”) that the practitioner has not submitted yet (Pending steps might be charting/drawing on photos, charging at checkout, etc.)
- Calendar tab showing all appointments scheduled with this provider, allowing to block off hours from the availability and to book new appointment on behalf of a patient. Also allows to cancel/reschedule existing appointments
