Once our team creates your Medspa in the EHR, you will be prompted to fill out an onboarding checklist, these steps are explained below.
You will receive either of the following email invites, depending on how your Medspa was created in our system.
If you received the invite shown in the first screenshot above, you might need to reset your password as a security measure by navigating to https://ehr.portraitcare.com/reset-password
You are now ready to begin the onboarding process!
The first step will be filling out your Account settings, this is the only step that requires uploading documents and it's the initial phase to kick off your Medspa. The present article provides a walkthrough of this first step, the other seven steps are covered in separate Help Center articles (entering an inventory order, arranging your appointment types, creating locations, etc.).

Option #1 Draw the signature using your cursor, or;
Option #2 Upload a PNG/JPG/JPEG file containing your signature (you can manually draw it on white paper with black ink and photograph it) - Licenses
Select your license from the dropdown - Position
Indicate the position you occupy at your Medspa - Shipping address
We will be able to send inventory orders to your Medspa once this step has been completed, please read carefully the notes in this step.
If you do not have a commercial shipping address, someone from Portrait's Operations team will reach out to you to assist in finding a suitable location to receive your inventory orders.
In the last section "Real Estate Business Management" after you click sign you will be prompted to enter the following information: - Provider Entity
This step is optional, you may indicate your "Doing Business As" (DBA) - Medical Director
Option #1 if you are the medical director for your Medspa
Option #2 to enter the information for your medical director, you may submit a ticket to ask us for a Physician user in our EHR to be created for your medical director
Option #3 if you do not have a medical director, you can reach out to the Operations associate assigned to you so we can match you with a medical director - Payment Method
This payment method can be used to pay for your inventory orders, you will be able to select it when placing an order in the "Inventory ordering" tab.
*As of September 2024, we offer only credit card as an option, we are working on making ACH available as an option to pay for inventory orders. - Bank Account
This information will be used to set up your rewards portals with supplier partners on our national MSO contracts. - Inventory Agreement
Select the checkbox to acknowledge the inventory order conditions.
