This article shows how you can setup your calendar to launch your Medspa!
This last step of the onboarding process will be covered in this article
Locations
First, we need to set up the location to be able to have it active for scheduling:
After clicking on "New Location", complete all the required information for your location:
Make sure to select a provider for the required location and set it to "Active". Then tap "Save".
After this step, make sure to turn on"Active for scheduling" toggle, so that patients can choose that location within your locations list when they book an appointment in your booking link. You will also see that at this point, you can "Add services" at the bottom left of the page, this will lead you to the Services Management tab, where you will be able to activate which services you want to offer during a service visit, and which services you want to connect to your appointment types.
Appointment types
Once your location is created, now it's time to create your appointment types. These are what will show in your booking link for patients to choose within the different services that your Medspa will offer. Tap on "New appointment type"
Fill in all the required information on the side tab that populates
The Name of your appointment type is going to be the title that shows in your booking link page for patients to choose. You can also write up a description, this will show as a brief description of what patients are booking an appointment for.
Example: if you create an appointment type called "Botox" and you want to offer the services Botox, Dysport and Xeomin, you can choose "Neurotoxins" as a name enter "Botox, Dysport, Xeomin" in the description to let patients know that when they book Neurotoxins, those are the services that you're offering
This is what patients will see in your booking page:
Availability
Once you have set up your appointment types, the last step is to set the availability of the providers working at your Medspa.
Choose the provider for which you want to set up the availability, this will show you the locations where that provider is working (which we have selected in the locations settings), make sure the "Active for scheduling" box is checked, and mark the days and hours where that provider is available:
Then, tap save
SMS and Email appointment reminders
There's an additional configuration available, that is the SMS and Email appointment reminders, right below providers' availability. Appointment reminders run by location, so you have to make sure which location you're configuring or reminders for. You can set multiple parameters, such as how long before the appointment you want them to be sent, SMS headers, body of the message and footer, as well as for the e-mail reminders:
After setting all these up, you will be ready to go and start booking patients for treatment!
