Account Settings

The Account Settings section allows you to manage essential aspects of your profile and operations within your MedSpa. Let's have a look at the different sections.

Admin 

In this section, you can view and manage your personal profile information. Here’s what you will find:

  • Full Name: Displays your registered name, allowing for easy identification.

  • Photo: This image will be shown on your admin and provider accounts, helping to personalize your profile.

  • Email: Your registered email address with which you can log in is displayed here.

  • Phone: Your contact number is listed for any necessary communications.

  • Password: A secure field where you can manage your account password.

  • Signature: You are required to use your real signature for digital document signing. This ensures authenticity and compliance.

  • Credentials: This section shows your qualifications (for example MD, DO, NP).

  • Position: Your specific role is listed here.

  • Admins: This section allows you to manage the admins associated with your account.

Medspa

This section provides key information and settings related to your MedSpa operations. Here’s what you will find:

  • MedSpa Name: Displays the name of your MedSpa (Mingmar Sherpa), ensuring clarity in identification.

  • Product Type: Indicates the product associated with your MedSpa, in this case, PortraitLite.

  • Provider Entity: This section defines the structure or legal entity under which your services are offered.

  • Add-ons: Enhancements available for your MedSpa operations, including:

    • Charting: This feature requires the completion of charts for all Patient Service Visits, ensuring comprehensive documentation of patient interactions. Read more about this here.

    • Marketing: A suite of tools designed to support patient acquisition and engagement, helping to grow your MedSpa's client base and enhance relationships with existing patients. Read more about it in this Help Center article: Marketing Autopilot.

    • Beauty Bank: This membership program allows clients to accumulate funds for services at your aesthetic business. Members pay a monthly fee of $99 to build credit for treatments, fostering deeper patient relationships and encouraging loyalty through custom perks and exclusive access.     • Deposits and Fees: This feature enables automatic charging of deposits or cancellation fees, streamlining your payment processes and reducing no-show rates. Read more about it in this Help Center article: Setting up a cancellation or deposit fee.

This section is essential for managing your MedSpa efficiently and effectively, helping to enhance patient experiences and operational workflows.

Payment Methods 

This section allows you to add and manage your credit or debit cards and bank accounts for transactions.

  • Adding Payment Methods: If you haven't added any payment methods yet, simply click the Add Card button to enter your first card details.

  • Bank Accounts: You can also link a bank account to facilitate payments and manage your finances more effectively.

 

GFE Management

In this section, you can choose how you want to send patient profiles for the Good Faith Estimate (GFE) process. Once your Medical Director's information and necessary forms are completed, you will be able to request GFEs for your patients scheduled to get treatments. There are 3 ways to get GFEs done:

  • Portrait Clearing Services: When you select this option, Portrait will handle all of your GFE requests. Charging you different amounts for many types of GFEs (Standard, Urgent, Live).

  • Do Not Route: If you choose this option, you will need to manually request each GFE.

  • Own Clearing Provider: If you have your own clearing provider, you can submit a ticket so we can provide them with a clearing provider user for them to process your GFE requests.
